An auto repair call intake checklist for the shop and the road

A useful auto repair intake records the customer and vehicle, what service is requested, the symptoms in the caller's own words, when and under which conditions they occur, warning indicators, recent work, vehicle location, reported drivability, timing, and the next contact. It gives the service advisor a consistent starting point without diagnosing the vehicle, declaring it safe to drive, or promising a price or appointment.

Set a clear handoff without claiming capacity or authorization

  • Requested appointment, drop-off, mobile visit, inspection, diagnostic review, estimate, status update, pickup, or callback

  • Any diagnostic fee, estimate, authorization, or scheduling language the shop has approved for this exact call type

What the intake should not do

  • Do not diagnose the vehicle or recommend a repair from the caller's description
  • Do not state that a vehicle is safe to drive or provide roadside, towing, emergency, or repair instructions outside the shop's approved language
  • Do not promise a price, part, appointment, mobile visit, completion time, pickup time, or warranty outcome without current approved information
  • Do not treat a call-intake record as customer authorization for diagnosis or repair
  • Do not claim access to a shop-management, vehicle-history, recall, dispatch, or availability system unless it is connected and current
  • Do not collect VIN, payment, key, or access details in a channel the shop has not approved for sensitive information

  • Customer, verified contact details, preferred channel, and customer or fleet status

Methodology and review

A template built around clear boundaries

This worksheet follows Clara's governed US call-intake model and an August 22, 2026 review of auto repair intake language across Perplexity, Firecrawl, Parallel, official repair-authorization guidance, and recent X posts. Repeated fields included contact details, year, make, model, mileage, plate or VIN, the customer's complaint in their own words, symptom timing and conditions, warning indicators, recent work, location, reported drivability, preferred timing, and communication method. Recent X results were sparse and mostly promotional, so they were not treated as proof of missed-call rates, revenue loss, appointments, or outcomes. Published and reviewed August 22, 2026.
