We spoke to Kevin, who runs an HVAC company out of Calgary, about what changed when he updated his voicemail. His old greeting was the carrier default — no business name, no callback time, nothing. What to avoid in a business voicemail greeting

Avoid greetings that are vague, overlong, or give the caller nothing useful to work with.

The mistakes that show up most often:

No business name. If callers can’t confirm they’ve reached the right number, they won’t leave a message. This is especially common with sole traders and owner-operators who set up their phone with a carrier default and never recorded their own greeting.

No callback timeframe. “We’ll get back to you soon” is not a commitment — “we’ll call you back by 5pm today” is. Give callers something specific to hold you to. It builds more trust, and it gives them a concrete reason to wait.

Running longer than 30 seconds. Callers have already decided in the first few seconds whether they’re staying or going. A greeting that makes them wait 45 seconds before the beep will lose a meaningful share of them.

Filler phrases with no content. “Your call is very important to us” and “we apologise for the inconvenience” are phrases that mean nothing because everyone uses them. Drop them. Get to the useful part.

No alternative for urgent calls. This matters most for trades, healthcare, and legal practices. A caller with an emergency pipe leak or a time-sensitive legal deadline needs to know where to turn if you’re not available. If there is no after-hours option, say that clearly — it’s more honest than implying help is on the way.
