A phone that had to be answered from a silent room

Michael left a career in accounting and finance to retrain as a massage therapist in Los Angeles during the pandemic. He started with cash clients, added insurance work, and now runs Massage22 with six massage therapists across two locations, in LA and Palm Springs. The phone was the one part of the business that never scaled with it.

Rented treatment rooms came with a shared receptionist, which meant noise he couldn't control and no say in how his callers were treated. A message-taking service replaced it, until he learned how fast a massage lead goes cold: leave a new caller much longer than an hour and they have already booked somewhere else.

Next came an app that let up to six people answer, but it couldn't transfer a call or pass a message between therapists. His booking software moved from Square to PocketSuite for a better small-business fit, and that left him with no phone system at all. Two locations, six therapists, and no way to route a call between them.

Michael reviews his tools every six months or so, and he had tried several AI receptionists before. Most disappointed him. The ones that worked charged by the minute or by the call, which is the wrong shape of bill for a business that grows in bursts.

He trialled Clara against two other AI receptionists at the same time. What settled it was small enough to miss: Clara let callers finish their sentences, even over the noise of a busy room. Being cut off mid-sentence is the moment people give up on a phone system and hang up, and it was the one thing none of the others got right.

Flat monthly pricing did the rest. Setup took minutes rather than an afternoon, which matters when the people using it are massage therapists rather than IT staff.

The treatment room is why it works at all. A massage therapist can't take a call, can't step out to check voicemail, and can't ring anyone back until the session ends. Clara answers, takes the details, and sends a summary to Michael's phone. He reads it between clients, in the two minutes he actually has.

His first client of the day was one of those. Clara answered while he was working, took her details, and flagged that she wanted to book. Michael read the summary, texted her his booking link, and she booked in. Before Clara that call would have rung out. He says it happens all the time.
